One system to kill the rest

I’ve had 23 conversations in the last week.

And I learned something.

There’s a disease spreading the globe.

Toomuchitis is what I’m calling it.

Specifically, when it comes to organizing your day.

There’s too much you’re considering. And it looks a lot like this:

You’ve got:

  • Emails

  • Meetings

  • Follow-ups

  • Dishes

  • Laundry

  • Your mini-panic

  • And a whole lot else

These things exist and will continue to exist.

But Toomuchitis is going to streamline your path to doing too much and burning out.

Or to thinking too much and getting nothing done.

They both suck.

But fear not

I don’t approach a disorganized life as a shitty hand.

I don’t see too much to do as a problem.

I’m doing more now than I ever have before and I’m nowhere near burnout or (the other side of the coin) procrastinating to the point of listlessness.

But I burnt out in 2022 (twice).

And I’ve had entire days where I’ve played video games. *yikes

I thought I needed a miracle.

What I really needed was a system.

Tell me if this describes you

You’ve got a:

  • Digital calendar

  • Physical calendar

  • Calendar on your fridge

  • Notebook

  • Post-its

  • Productivity program

  • Daily journal

  • Checklist (written + digital)

  • And reminders on your phone

Funnnnnnnn.

Nah, dog. You’ve got those things but let me guess.

When you read that, even you felt like it’s too much.

That’s because it is.

I’m not saying you can’t have it all

I’m saying you need to organize it.

I write notes—I love the way a pen feels on paper.

I have a calendar on my fridge—I’m in the kitchen a lot.

I use a productivity program—It follows me everywhere.

But I have to organize them somehow. This isn’t a tools eliminator.

It’s a tools syncer.

Let’s go.

Tie it all together. Save some peace of mind.

I don’t have a name for this system but I consider it 90% mental, 5% maintenance, 5% setup.

Let’s work backward.

5% setup

  1. Sync all your calendars to one email via sharing.

  2. Sync your booking link to all your calendars.

  3. Set up notifications to only receive the “can’t miss” stuff.

  4. Use automation to sync tasks.

Your setup will be unique to you. But here’s how I execute this for me:

  1. I have 5 different emails w/ 5 different Google calendars. They all sync to my @colbywegter.com email via sharing.

  2. My booking link checks every single calendar before showing availability.

  3. My phone is on focus mode to only send me stuff with keywords and from key people and apps. This alone has cut down on my daily disruptions by 90%.

  4. When someone books a meeting, the link is sent automatically. When someone adds a to-do to my list, it goes into Notion automatically. I use Zapier for this.

5% maintenance

  1. Close tasks or drag them to the following day.

  2. Have meeting recordings sent and filtered automatically.

  3. Set a routine to end your day with cleaning your space.

Here’s how I do that:

  1. Since my master tasks are in Notion, I cross them off or drag them to a future day if I don’t finish them.

  2. I use Google Meet + Zoom. Either way, those recordings are sent to me and I use a filter with the word “Recording” if it’s coming from either of these two to file them away. It keeps them out of my primary inbox but makes them easy to find.

  3. Five minutes before I plan on shutting down for the day is desk reset time. I close my laptop. Wipe any crumbs from the surface. Take any notes or folders and put them in my caddy. Turn off my light. Put my space heater in the corner and close the door.

There is no substitute for simple and starting fresh.

90% mental

Where this system wins is in the intention.

I start every morning saying, “Today is a great day!”

I then include gratitude in my mindset 2 other times during the day.

I’m intentional about simple and seeing each item as an opportunity.

Once you’ve got the setup done and you institute routine, the only thing left is to beat your own mind.

Be thankful and watch how easy it is.

There is no 20-point plan

There is only you versus your mind.

If you clutter your mind, you’ll clutter your desk.

If you clutter your desk, you’ll clutter your activity.

If you feel overwhelmed, you’ll remain overwhelmed.

  • Set it up.

  • Maintain it.

  • Be grateful.

It could be hard. It could be daunting. But it’ll get better.

The only way it doesn’t is if you don’t do it.
